1. Who we are
TravelDoc is a private travel documentation assistance service. This policy explains what personal data we collect about you, how we use it, and the rights you have. For questions, write to privacy@gotraveldoc.com.
2. Data we collect
- Identity data such as full name, date of birth and nationality.
- Passport data, including biodata page scans you upload.
- Contact data such as email address and phone number.
- Trip data such as planned arrival date and purpose of travel.
- Payment metadata (never full card numbers, which stay with our processor).
- Technical data such as IP address, device type and analytics cookies.
3. Why we use it
We use your data to prepare and lodge your application, communicate with you about it, take payment, prevent fraud, meet legal obligations, and improve the service. We do not sell your data.
4. Legal bases
Depending on the activity, we rely on the performance of our contract with you, your consent (for optional cookies and marketing), our legitimate interests (service improvement and fraud prevention), and legal obligations.
5. Who we share it with
We share data with the Australian Government portals to lodge your application, with our payment processor, our email delivery provider, and with tightly-scoped hosting and analytics vendors. Each vendor is bound by a written data processing agreement.
6. How long we keep it
We keep application files for as long as needed to provide support, meet legal record-keeping duties, and defend legal claims. Sensitive scans are removed on a rolling schedule once your application is closed.
7. Your rights
Depending on where you live, you may have the right to access, correct, delete, restrict or port your personal data, and to object to certain processing. To exercise a right, email privacy@gotraveldoc.com. You can also complain to your local data protection authority.
8. International transfers
Your data may be processed in countries other than yours. Where required, we use approved transfer mechanisms such as Standard Contractual Clauses.
9. Security
We use TLS in transit, encryption at rest, access controls and regular reviews. No system is perfectly secure, so please tell us as soon as you suspect a problem.
